Terms and Conditions
RM Promo, a trading name of Reel Adventure Worx Media CC · Registration number: 2010/005281/23 · Effective date: 19 October 2026
1. Introduction
Welcome to RM Promo. Throughout this document and on our website, "the company", "we", "us" and "our" mean Reel Adventure Worx Media CC, trading as RM Promo. "You" and "the client" mean the person or business that requests a quote from us, places an order with us or uses our website.
These Terms and Conditions apply to our website and to all quotes, orders, sales, branding, printing, marketing and event services and deliveries. By using our website, requesting a quote or placing an order, you agree to be bound by them.
We supply promotional items, clothing and workwear, banners, signage and display products, printing, marketing support and event and conference management. Where products can be customised or branded, we do so according to your requirements. We work only within the Republic of South Africa.
2. Quotes and Order Placement
Quotes. Every order starts with a written quote. A quote is valid for [14] days from the date it is issued, unless it says otherwise.
Placing an order. An order is placed when you accept our quote in writing (by email, through our website or by any other written means we agree to) and, where applicable, pay the required amount. Verbal instructions alone are not an order.
Order acceptance. We may accept or decline any order. Acceptance depends on product availability, accurate information from you (including artwork and specifications) and payment.
Limited stock. Stock is limited and we cannot always guarantee availability. If an item becomes unavailable after your order is accepted, we will tell you and offer a suitable alternative or a full refund of the amount you paid for that item.
Changes. Once an order is confirmed, any change to quantities, products or specifications must be agreed in writing and may affect the price and delivery date.
3. Pricing
All prices are quoted in South African rand. Unless stated otherwise, prices exclude VAT and delivery. Prices on our website and in quotes can change without notice because of supplier price changes, but a quote that you have accepted will not change unless the scope of the order changes. Any price adjustment will be communicated to you in writing.
4. Payment
Payment methods. We accept payment by EFT and card payments. We do not accept cash. Please use your quote or invoice number as the payment reference and email your proof of payment to accounts@rmpromo.co.za.
Late payment. If full payment is not received within ten (10) working days of the due date, we may cancel the order and the cancellation terms in section 9 apply. We may withhold new orders until outstanding amounts are settled.
5. Artwork, Proofs and Approval
Submitting artwork. Please send artwork by email or through our website. Vector artwork is preferred. Acceptable formats are .AI, .EPS, .CDR and .PDF (vector). We cannot use Word or PowerPoint files, or low-resolution images (under 300 dpi at the final print size).
Typesetting and fonts. If you ask us to typeset, please state the font and size. To avoid font substitutions, all fonts in files you supply must be converted to curves.
Redrawing and layout fees. Artwork that arrives in the correct format carries no additional fee. Artwork that has to be redrawn carries a redrawing fee of approximatly R850 (depending on the complexity of said artwork) excluding VAT, which includes two further changes to the layout. Any additional changes cost R450 excluding VAT per change.
Approval. We will send you a layout proof, and production begins only after you have approved it in writing and payment requirements have been met. By approving a proof you confirm that the layout, spelling, colours, product, size and quantity are correct. Once a proof is approved, no changes are accepted, and we are not responsible for spelling or artwork errors that appear in approved artwork.
Colour matching. We match printing colours as closely as possible to the Pantone references or swatches supplied, but we cannot guarantee a 100% match. Colours can vary between materials and printing methods. Fluorescent and metallic colours cannot be matched exactly and will be a tonal representation only. If exact colour matters, please ask for a sample before ordering.
Branding on certain surfaces. We do not guarantee print results on metal, ceramic or glass items, and we will advise you of the most suitable branding method for each item.
6. Production and Lead Times
Lead times start on the working day after both artwork approval and payment have been received, whichever is later. Lead times do not include weekends, South African public holidays or our year-end closure period.
We work hard to meet every date we give you, but delays caused by suppliers, transport or other factors outside our control can happen, so lead times are estimates and cannot be guaranteed. We will keep you informed if we expect a delay.
7. Delivery and Collection
Collection. You may collect your order from our Durban address or supplier once we tell you it is ready.
Delivery. We deliver within South Africa using our own transport or a courier. Delivery costs are quoted per order. You may also arrange your own courier. Prices exclude delivery unless the quote says otherwise.
Inspecting your order. Please check your order when it is delivered or collected. Any damage, shortage or error must be reported to us in writing within twenty-four (24) hours of delivery or collection, with photos where possible. After that period we cannot accept claims for visible damage or shortages.
Risk and ownership. Risk in the goods passes to you on delivery or collection. Ownership passes to you only once we have received full payment.
8. Banners, Signage and Display Products
- Artwork for banners, signage and displays must be supplied in CMYK, with any Pantone colours included as Pantone solid coated spot colours in the print file. Without this, we cannot do colour matching.
- Because digital printing has a limited colour range, not every Pantone colour can be achieved, and the same colour may look different on different materials (for example PVC compared with fabric).
- Please check that you order the correct size and type of banner or skin for your display hardware. We cannot be held responsible for skins ordered to fit hardware that was not supplied by us.
- Print longevity is shortened by overexposure to direct sunlight. Please take care of fabric and remove displays from direct sunlight whenever possible.
- Display fabrics come with a [3]-month limited print-fade warranty and display hardware supplied by us comes with a [12]-month limited mechanical repair warranty. These warranties do not cover hardware or fabric that has been mishandled, abused, used for something other than its intended purpose or exposed to extreme weather.
- Before repair work on any item, we will give you a cost estimate for your approval. Repaired items that are not collected within [30] days of completion may be sold to recover our costs, after we have given you written notice.
9. Cancellations
- Once an order is confirmed, it is a binding agreement.
- No cancellation is possible once artwork has been approved and branding or production has started, because branded and custom-made goods are made specifically for you.
- An order that is cancelled before production starts, and that is valued above R5,000 (excluding VAT), carries a [15]% handling and administration fee.
- Where layouts have already been completed, a layout fee of R350 excluding VAT per layout is charged.
- Orders made up of several components that have already been consolidated cannot be cancelled or returned.
- If we cancel an order because of non-payment, the fees above apply.
- We may decline new orders until any outstanding cancellation fees have been paid.
- Nothing in this section limits any rights you have under the Consumer Protection Act, 2008 that cannot be excluded by agreement.
10. Returns, Faulty Goods and Refunds
Faulty goods. If a product we supplied is defective, please tell us in writing within five (5) working days of receiving it and send photos. After checking the item, we will repair it, replace it or give you a credit or refund, as the law requires.
Change-of-mind returns. Unbranded stock items that are held in stock and are unused, unworn and in their original packaging may be returned only with our written approval and the original invoice. A 25% handling and administration fee applies to approved returns.
What cannot be returned. Unless the goods are faulty, we cannot accept returns of:
- branded or custom-made items
- consumables and perishables
- memory sticks, masks and sanitisers
- items that require assembly or have been consolidated into a set
- discontinued or clearance items
- workwear that has had tape or special trims applied, as these are made to order
Worn clothing. Clothing that is returned worn must be laundered first, for hygiene reasons. A laundry fee of R50 per garment is charged if unclean worn clothing is returned.
Refunds. Approved refunds and credits are processed after we have inspected the returned goods, which can take up to seven (7) working days.
11. Samples
We know a sample can help you decide, so we are happy to arrange one.
- Samples are available for purchase and can be collected from one of our depots or delivered at your cost.
- Sample orders must be paid for and collected within five 5 working days of the invoice date, or they will be cancelled.
- Samples with a price of R30 (excluding VAT) or more may be returned for a refund or credit within seven 7 days of collection, provided they are unused, undamaged, in their original packaging and returned with the original invoice. We may take up to seven 7 days to inspect returned samples.
- Samples under R30 (excluding VAT), branded samples, consumables and perishables cannot be returned.
- Clothing samples that are loaned to you and not returned within 72 hours will be invoiced to your account. If the sample is branded, a pre-production sample fee also applies.
12. Clothing and Workwear
- Workwear is manufactured only after we have received your order and, full payment is required. Once a sales order is generated, it cannot be cancelled or changed.
- Please make sure sizing is correct before you order. Conti suit sets are sold according to the industry standard, where the trousers are two sizes smaller than the jacket. A set is sold according to the jacket size, so an order for size 34 means a size 34 jacket and size 30 trousers.
- Sizes can vary slightly from the size guides provided.
13. Event and Conference Management
Where we manage or support an event or conference, a separate written proposal or event agreement will set out the scope of services, fees, deposit, payment schedule and cancellation terms for that event. If anything in the event agreement differs from these Terms and Conditions, the event agreement prevails for that event.
14. Warranties and Liability
Warranties. New goods carry the original manufacturer's or supplier's warranty where there is one. Some goods are excluded from warranties and may have latent defects for which we are not responsible, unless the law says otherwise.
Fitness for purpose. We do not warrant that goods are suitable for any particular purpose unless we have confirmed this to you in writing.
Our liability. Where goods are faulty, our liability is limited to repairing or replacing them or issuing a credit or refund of equivalent value. If goods are returned and no fault is found, all related costs will be passed on to you.
Product information. Colours and sizes of actual products can differ slightly from those in catalogues, photographs and on our website. Please ask for a sample if an exact match is important. While we take care to keep our information accurate, errors can occur. E&OE.

18. Force Majeure
If either of us is prevented or delayed from carrying out our obligations by something beyond our reasonable control, such as strike, fire, flood, riot, accident, act of God, load-shedding or power failure, shortage or breakdown of transport, supplier failure, civil unrest or government action, the affected party is released from those obligations for as long as the event lasts, and is not liable for the resulting delay or failure. The affected party must notify the other in writing as soon as reasonably possible. If the event continues for more than ninety (90) days, the other party may cancel the agreement for any obligations still to be performed.
19. Governing Law

Severability. If any part of these terms is found to be invalid or unenforceable, the rest remains in force.
Relationship. Nothing here creates a partnership, joint venture, agency or employment relationship between us.
